Custom vs modular exhibition stands: what's the difference and which is right for you?

Over the past three years, rising exhibition costs have forced many long-term exhibitors to rethink how they approach their stands.

Many of our clients who had used full custom builds for decades decided to trial modular systems for the first time. The decision was universally driven by cost.

What happened next was interesting.

Without exception, those same clients were surprised by how impressive the stands looked and how well they performed. What began as a cost-cutting measure has, in many cases, led to a permanent shift in approach.

Many are now using a combination of modular and custom elements to balance visual impact, flexibility, and cost.

What is the difference between a custom and modular exhibition stand?

A custom exhibition stand is designed and built from scratch to a unique brief, while a modular stand is created from a system of reusable components that can be reconfigured in a variety of ways.

What is a custom exhibition stand?

A custom stand is designed and built specifically for your brand, your space, and your objectives. It ensures the look and functionality of your stand is 100% unique.

Every element, including the structure, layout, finishes, and integrated technology, is purpose-designed. This allows for a highly distinctive environment that can stand out in a crowded exhibition hall.  It's particularly useful if an exhibitor has very specific and/or unusual display requirements.

The trade-off is cost and adaptability. A custom build involves a higher upfront investment and is designed for a specific footprint and layout. If you want to re-orient your stand, it usually requires extra elements to be fabricated.

What is a modular system exhibition stand?

A modular stand is built from a system of engineered components such as frames, panels, and display elements that can be assembled and reconfigured for different events.

Modern modular systems have evolved significantly and can achieve a level of finish that is often difficult to distinguish from custom builds.

The key advantage is flexibility. The same system can be used across multiple stand sizes and event formats, with graphics updated as needed. This allows the initial investment to be spread across many exhibitions.

Is a custom or modular exhibition stand cheaper?

Modular stands are typically more cost-effective over time, particularly for companies that exhibit regularly.

Exhibitors using reconfigurable systems across multiple events can achieve cost savings of approximately 35 to 45 percent per event over a three-year period. This is primarily due to the ability to reuse structural components and reduce logistics and production costs.

However, for a single flagship event where visual impact is the primary objective, a custom stand may represent better value for that specific situation.

When should you choose a custom exhibition stand?

If you exhibit once or twice a year at major events and don't typically vary the layout or display requirements then it's worth investing in a custom stand with maximum presence.

If the stand itself is a central part of your brand experience and needs unique features unachievable with modular system, the additional investment in a custom build could be justified.

When does a modular exhibition stand make more sense?

Modular stands are usually the better option when you exhibit multiple times per year or across different stand sizes.

Sometimes your budget simply won't stretch to the cost of a custom build, and a modular system stand can offer a high quality solution that's also affordable.

What are the logistics differences?

Custom stands typically involve more complex logistics, including transport, storage, and installation.

Modular systems are designed for efficient packing and transport, which can significantly reduce freight and labour costs. This becomes particularly important for interstate or international exhibitions.

Final thoughts

There is no universal answer to the custom versus modular question. The right choice depends on your individual needs, goals and budget.

Making the right decision requires a clear understanding of how you plan to use your stand and how your needs may change over time.

Frequently asked questions

\What is the main difference between a custom and a modular exhibition stand?

A custom stand is designed and built specifically for a single brand, space and event. Offering maximum design flexibility at a higher per-show cost. A modular stand uses a system of reusable components that can be reconfigured across multiple events and footprints, offering flexibility and significantly lower long-term cost. Both can achieve high-quality results when properly specified.

Can a modular exhibition stand look as good as a custom build?

Yes, modern high-quality modular systems can achieve aesthetic outcomes that are difficult to distinguish from custom builds. The key is the quality of the system, the quality of the graphics, and the experience of the designer. A well-executed modular stand will always outperform a poorly designed custom build.

How long does a modular exhibition stand last?

A quality modular system, properly maintained, should last seven to ten years or more. The structural components are engineered for repeated assembly and disassembly. Graphics panels are typically replaced every two to four years as branding evolves, but the core structure remains serviceable well beyond that.

What size exhibition space suits a modular stand?

Modular systems can be configured effectively for almost any footprint. From a 3x3 inline stand through to the largest island configurations and even multi-storey stands. The strength of a modular system is precisely this scalability: one structural investment can serve multiple different footprint requirements across your exhibition schedule.

Can I start with a modular stand and upgrade to custom later?

Absolutely. Many exhibitors start with a quality modular system to establish their exhibition presence and prove the ROI of the channel, then invest in a custom build over time. Often you can redeploy elements of your modular stand within a custom design.

Who should I talk to about which option is right for my business?

Talk to a stand designer with experience across both custom and modular solutions. An experienced consultant can work through relevant factors with you and give you an honest recommendation.
